These Terms & Conditions apply to property hosts on SpotLet after listing activation — including listing standards, plans, leads, payouts, cancellation, and legal responsibilities.
Property hosts and authorized representatives listing and managing properties on SpotLet after successful activation.
1. Eligibility to List a Property
a) Legal Capacity
To list a property on SpotLet, the host must be at least 18 years of age and legally competent to enter into binding agreements. If the host represents a company, organization, or third party, they must have the authority to act on behalf of that entity.
b) Property Ownership or Authorization
Hosts must either be the legal owner of the property or have explicit written authorization from the property owner or authorized representative to list and manage the property on SpotLet.
c) Compliance with Laws and Regulations
Hosts must ensure that their property complies with all applicable local, state, and national laws, regulations, permits, and licensing requirements related to short-term rentals, events, filming, or any other intended use.
d) Prohibited Properties
SpotLet reserves the right to reject listings of properties that are illegal, unsafe, or unsuitable for short-term stays, events, or filming purposes. Properties engaged in activities prohibited by law or that violate SpotLet’s policies are not eligible.
e) Multiple Listings
Hosts may list multiple properties, provided each listing complies with these eligibility criteria and other SpotLet policies. Separate subscriptions or fees may apply per property.
2. Property Listing Accuracy
a) Truthful and Complete Information
Hosts must provide accurate, complete, and up-to-date information about their property when creating and maintaining listings on SpotLet. This includes, but is not limited to, property description, amenities, pricing, availability, photos, videos, and policies.
b) Responsibility for Updates
Hosts are responsible for promptly updating their listings to reflect any changes in property details, pricing, availability, or policies to avoid misleading potential guests or users.
c) Prohibited Misrepresentation
Hosts must not provide false, misleading, or exaggerated information about their property. Misrepresentation includes, but is not limited to, altering photos, misrepresenting the condition, location, capacity, or facilities of the property.
d) Verification of Information
SpotLet may verify the accuracy of listings and reserves the right to request additional documentation or proof of the property details from hosts. Failure to provide such information may lead to suspension or removal of the listing.
e) Liability for Inaccuracies
Hosts acknowledge that inaccurate or incomplete listing information can lead to disputes, cancellations, or reputational damage. Hosts accept full responsibility for any consequences arising from listing inaccuracies.
3. Ownership & Legal Rights of Property
a) Proof of Ownership or Authorization
Hosts must have full legal ownership of the property or valid authorization from the property owner to list and offer the property on SpotLet. SpotLet may request proof of ownership or authorization documents at any time.
b) Rights to Rent or Lease
Hosts confirm that they have the legal right to rent, lease, or otherwise make the property available for short-term stays, events, film shoots, or other purposes as listed on SpotLet, without violating any agreements, covenants, or restrictions.
c) Compliance with Third-Party Agreements
Hosts must ensure that listing and renting the property does not violate any third-party agreements such as homeowners’ association rules, lease agreements, or management contracts.
d) Indemnity for Unauthorized Listings
Hosts agree to indemnify and hold SpotLet harmless from any claims, damages, or liabilities arising from unauthorized listings or disputes related to property ownership or rental rights.
e) Intellectual Property Rights
Hosts retain ownership of the intellectual property rights related to their listing content (photos, descriptions, videos) but grant SpotLet a license to use, display, and promote the content on its platform and marketing channels.
4. Verification & Activation Process
a) Verification Requirement
Upon submission of a property listing, SpotLet’s verification team will review the provided information, documents, and media to ensure compliance with platform standards and legal requirements.
b) Documentation and Proof
Hosts may be required to submit additional documents such as ownership proof, identification, property permits, licenses, and safety certificates as part of the verification process.
c) Inspection and Validation
SpotLet reserves the right to conduct physical or virtual inspections of the property to verify the accuracy of the listing details and ensure the property meets safety and quality standards.
d) Activation Timeline
Once verification is complete and the listing is approved, the property will be activated and made visible on the SpotLet platform. Verification and activation typically take up to 72 hours but may vary depending on circumstances.
e) Right to Reject or Suspend
SpotLet reserves the right to reject, suspend, or deactivate any listing if verification fails, documents are found invalid, or if the property does not comply with SpotLet policies or legal requirements.
f) Notification
Hosts will be notified via email or in-app messages regarding the status of the verification and activation process, including any required actions to complete verification.
5. Subscription Plan Terms & Validity
a) Subscription Requirement
To list a property on SpotLet, hosts must subscribe to one of the available plans (Flexible, Standard, Premium, or others) as per their requirements. Subscription fees are applicable per property and are subject to applicable taxes.
b) Subscription Duration and Renewal
Subscription plans are valid for one year from the date of activation unless otherwise specified. Hosts are responsible for renewing their subscription before expiry to avoid service interruptions.
c) Subscription Benefits
Each subscription plan provides specific features such as listing visibility, media upload limits, analytics access, lead notifications, and CRM integration. Hosts agree to abide by the terms and benefits of their chosen plan.
d) Upgrades and Downgrades
Hosts may upgrade or downgrade their subscription plans as permitted by SpotLet. Any changes in plan pricing or features will be communicated to hosts in advance. Pro-rated charges or credits may apply for mid-term plan changes.
e) Payment Terms
Subscription payments must be made through the payment methods accepted by SpotLet. Failure to pay subscription fees on time may result in suspension or removal of the listing.
f) No Refund Policy
Subscription fees are generally non-refundable. In exceptional cases, refunds or credits may be considered at SpotLet’s sole discretion, subject to terms outlined in the refund policy.
g) Compliance with Plan Usage
Hosts must use the subscription services only as permitted under the chosen plan. Abuse, misuse, or fraudulent use of services may result in suspension or termination of the subscription.
6. Pricing, Taxes, and Payments
a) Host Pricing Responsibility
Hosts are solely responsible for setting and maintaining accurate and competitive pricing for their properties, including rates for staycations, events, film shoots, or other uses.
b) Taxes and Compliance
Hosts must comply with all applicable local, state, and national tax laws related to their property rental activities. SpotLet does not collect or remit taxes on behalf of hosts; hosts are responsible for declaring and paying any taxes due.
c) Payment Collection
For all bookings, payment terms and methods are governed by the subscription plan and agreement with SpotLet. Hosts must ensure timely collection of payments as agreed with their guests or through SpotLet’s platform if applicable.
d) Additional Charges and Fees
Hosts may specify additional charges such as security deposits, extra guest fees, cleaning fees, or other costs. These charges must be clearly communicated in the listing.
e) SpotLet Fees
SpotLet does not charge any commission on bookings for most subscription plans except in specific cases such as the Exclusive Property Plan where SpotLet manages bookings end-to-end. Applicable fees, if any, will be clearly communicated.
f) Payment Disputes
Hosts agree to resolve any payment disputes directly with guests. SpotLet is not responsible for resolving payment issues unless otherwise stated under specific plans or agreements.
g) Refunds and Cancellations
Refund and cancellation terms are governed by the host’s stated cancellation policy and SpotLet’s general refund policy. Hosts must ensure these policies are clearly stated and adhered to.
7. Cancellations & Refund Policy
a) Host Cancellation Policy
Hosts must clearly define and display their cancellation and refund policies on their property listings. These policies govern cancellations initiated by guests or hosts and the associated refund conditions.
b) Guest Cancellations
In case of guest cancellations, refunds will be processed according to the host’s stated cancellation policy. SpotLet is not responsible for guest-initiated cancellations or refunds except as part of dispute resolution services if available.
c) Host Cancellations
Hosts should avoid cancelling confirmed bookings. In the event a host must cancel, they must notify SpotLet immediately. Repeated or unjustified cancellations by hosts may result in penalties, including listing suspension.
d) SpotLet’s Role
SpotLet acts solely as an intermediary platform and does not guarantee refunds unless explicitly stated under specific service agreements. SpotLet will facilitate communication between hosts and guests for cancellations but does not hold responsibility for refund payouts.
e) Disputes and Refunds
In case of disputes regarding cancellations or refunds, SpotLet may mediate but reserves the right to make the final decision. Hosts agree to abide by SpotLet’s rulings in such cases.
f) Changes to Policies
Hosts may update their cancellation and refund policies at any time, but changes will only apply to future bookings. Hosts must notify SpotLet of any material changes to policies.
8. Lead Delivery & Exclusivity
a) Lead Delivery
SpotLet delivers booking inquiries (leads) to hosts via the communication channels specified in their account settings, including WhatsApp, email, and in-app notifications. Hosts are responsible for monitoring these channels regularly to respond promptly.

Leads generated through SpotLet belong to the host receiving the lead. Hosts may use this information for direct communication and booking management but must comply with data privacy laws.
d) Lead Validity and Follow-Up
Hosts should respond to leads promptly to maximize booking opportunities. SpotLet does not guarantee lead quality, booking success, or conversion rates.
e) SpotLet’s Disclaimer
SpotLet acts as an aggregator providing information and does not guarantee any booking or transaction results from the leads provided. Hosts are responsible for verifying guest details and finalizing bookings independently.
f) Lead Sharing Violations
Unauthorized sharing or misuse of leads by hosts is prohibited and may lead to suspension or termination of listing privileges.
9. Guest Communication & Bookings
a) Communication Responsibility
Hosts are responsible for maintaining clear, professional, and timely communication with guests throughout the inquiry and booking process. SpotLet facilitates connection but does not engage in direct communication on behalf of hosts.
b) Booking Confirmation
Hosts must confirm or decline booking requests promptly. Failure to respond within a reasonable timeframe may result in lead de-prioritization or penalties as per SpotLet’s policies.

All bookings are subject to the terms and conditions set forth by the host, including pricing, availability, and cancellation policies. Hosts must ensure these terms are clearly communicated and agreed upon by guests.
d) Direct Transactions
Once connected through SpotLet, hosts and guests are responsible for negotiating and completing all transactions independently. SpotLet is not a party to the rental agreement or payment process unless under an exclusive management plan.
e) Dispute Resolution
Hosts agree to make reasonable efforts to resolve disputes or misunderstandings with guests amicably. SpotLet may offer mediation or support services but holds no liability for disputes arising from bookings.
f) Compliance with Laws
Hosts must ensure all bookings and guest interactions comply with applicable laws, regulations, and licensing requirements.
g) No Liability for Transactions
SpotLet is an online marketplace aggregator and disclaims any liability for damages, losses, or issues arising from guest-host transactions.
10. Damage, Disputes & Responsibility
a) Host Responsibility for Property Condition
Hosts are responsible for maintaining their property in a safe, clean, and well-functioning condition. Hosts must ensure that all facilities and amenities listed are accurate and operational.
b) Guest Conduct and Damages
Hosts should clearly communicate their policies regarding guest conduct, damages, and liabilities. Any damages caused by guests during their stay are the responsibility of the guest, and hosts may charge accordingly.
c) Security Deposits
Hosts may require a refundable security deposit from guests to cover potential damages. The terms for deposit collection, deductions, and refund must be clearly stated in the listing or booking agreement.
d) Dispute Resolution
In case of disputes regarding damages or other issues, hosts should first attempt to resolve the matter directly with the guest. SpotLet may offer mediation services but is not liable for any disputes or outcomes.
e) Limitation of SpotLet’s Liability
SpotLet acts only as a platform aggregator and is not responsible for the condition of the property, guest behavior, or financial disputes between hosts and guests. Hosts agree to hold SpotLet harmless from any claims related to property damage or disputes.
f) Reporting Issues
Hosts must promptly report any significant incidents or disputes to SpotLet to enable timely support or intervention if applicable.
11. Event & Shoot Specific Clauses (if applicable)
a) Applicable Listings
These clauses apply only to hosts listing properties for events, film shoots, photoshoots, or other similar uses on SpotLet.
b) Event Permissions & Regulations
Hosts must ensure they have all necessary permissions, licenses, and approvals required to host events or shoots at their property. Compliance with local laws and regulations is mandatory.
c) Guest and Crew Management
Hosts are responsible for managing the conduct and behavior of event guests, film crews, or other personnel. Hosts should establish clear rules regarding noise, timing, capacity, and property usage.
d) Equipment and Access Restrictions
Hosts should specify any restrictions on vehicles, equipment, or areas within the property to avoid damage or disturbance.
e) Insurance Requirements
For high-risk events or shoots, hosts may require proof of insurance from the organizers or production teams.
f) Damage and Liability
Any damages arising from events or shoots are the responsibility of the host or the event organizer, as per the terms agreed upon. SpotLet is not liable for any loss, damage, or injury related to events or shoots.
g) Cancellation and Rescheduling
Hosts should define policies for event or shoot cancellations, rescheduling, and any applicable penalties or refunds.
h) Coordination with SpotLet
Hosts agree to cooperate with SpotLet for verification, promotion, or special arrangements related to events or shoots as may be requested.
12. CRM, HRMS & Platform Tools Usage
a) Access to Tools
Hosts subscribing to applicable SpotLet plans will receive access to Customer Relationship Management (CRM), Human Resource Management System (HRMS), and other platform tools designed to facilitate property management, team coordination, and lead handling.
b) User Responsibilities
Hosts are responsible for the proper use of these tools in accordance with SpotLet’s guidelines and policies. Misuse or unauthorized access may lead to suspension or termination of tool access.
c) Data Accuracy
Hosts must ensure that all data entered into CRM and HRMS platforms is accurate, up-to-date, and complies with applicable data protection laws.
d) Confidentiality & Security
Hosts must maintain the confidentiality of login credentials and restrict access to authorized personnel only. Hosts are responsible for any activity under their account.
e) Support & Training
SpotLet may provide support, training, or documentation to assist hosts in effectively using CRM, HRMS, and other platform tools. Hosts are encouraged to utilize these resources.
f) Limitations & Updates
SpotLet reserves the right to update, modify, or discontinue any platform tools or features at its discretion with appropriate notice to hosts.
g) Data Ownership
Data entered by hosts remains their property; however, SpotLet may retain copies for backup, operational, or legal purposes as outlined in privacy policies.
h) Liability Disclaimer
SpotLet provides these tools "as is" and disclaims any liability for data loss, errors, or operational issues arising from tool usage.
13. SpotLet’s Role & Limitations (Aggregator Disclaimer)
a) SpotLet as a Platform Aggregator
SpotLet operates solely as an online marketplace and platform aggregator connecting property hosts with potential guests. SpotLet does not own, rent, or manage any properties listed on its platform.
b) No Agency or Partnership
The relationship between SpotLet and hosts or users is not that of an agency, partnership, joint venture, or employment. SpotLet is not a party to any rental, booking, or commercial transaction between hosts and guests.
c) No Liability for Transactions
SpotLet does not guarantee the accuracy, reliability, or legality of any property listings or transactions. Hosts and guests enter into agreements independently, and SpotLet disclaims all liability arising from any disputes, damages, or losses.
d) No Control Over Property or Guests
SpotLet does not control or supervise the properties, hosts, or guests. Hosts are responsible for their property management, guest screening, safety, and compliance with applicable laws.
e) Information Accuracy and Verification
While SpotLet endeavors to verify listings and information, it does not guarantee the completeness or accuracy of any listing content. Users and hosts should perform their own due diligence before proceeding with bookings or transactions.
f) Limitation of Liability
To the fullest extent permitted by law, SpotLet disclaims all warranties, representations, and liabilities related to property listings, guest conduct, booking processes, payments, or any associated risks.
g) Indemnification
Hosts agree to indemnify, defend, and hold harmless SpotLet from any claims, damages, losses, or expenses arising from their listings or interactions on the platform.
14. Listing Suspension/Delisting by SpotLet
a) Grounds for Suspension or Delisting
SpotLet reserves the right to suspend, restrict, or remove any property listing from the platform at its sole discretion, including but not limited to the following reasons:

SpotLet will endeavor to notify the host via email or platform communication channels prior to suspension or delisting, specifying the reason where feasible. However, SpotLet reserves the right to act immediately in cases involving safety or legal concerns.
c) Host Obligations During Suspension
While suspended, the host must refrain from promoting or accepting bookings through SpotLet for the affected listing until reinstated.
d) Reinstatement
Reinstatement of a suspended or delisted listing is subject to host rectifying the issues identified and complying with SpotLet’s requirements. SpotLet reserves the right to deny reinstatement.
e) No Liability
SpotLet shall not be liable for any losses, damages, or claims arising from the suspension or removal of listings.
15. Promotions & Marketing Use of Media
a) Media Rights
By listing a property on SpotLet, the host grants SpotLet a non-exclusive, worldwide, royalty-free license to use, reproduce, modify, adapt, publish, translate, distribute, and display any photos, videos, descriptions, and other media content provided by the host for promotional and marketing purposes related to SpotLet’s platform and campaigns.

SpotLet reserves the right to reject, remove, or edit any media content that it deems inappropriate, offensive, inaccurate, or non-compliant with SpotLet’s content guidelines.
e) No Compensation
Hosts acknowledge that SpotLet is not obligated to pay any fees or compensation for the use of submitted media content.
f) Media Quality & Accuracy
SpotLet may enhance or modify media content (e.g., photo editing, cropping) to improve presentation quality but will strive to maintain accuracy and authenticity of property representation.
g) Promotion Participation
Certain subscription plans may include enhanced promotional opportunities for hosts. Hosts opting for such plans agree to provide additional media or information as requested to maximize marketing impact.
